Understanding the Rent Collection Process in Leaseora
Leaseora streamlines the rent collection process, making it easier for property managers to collect payments on time and for tenants to pay their rent. This guide explains how the rent collection process works in Leaseora and how to optimize your payment workflow.
Before setting up rent collection, make sure you've configured your payment settings and added your properties and tenants to the system. If you haven't done this yet, please refer to our Configuring Payment Settings guide first.
The Rent Collection Cycle
Rent Schedule Setup
Define when rent is due, grace periods, and late fees for each property or unit.

Setting Up Rent Schedules
To set up rent schedules for your properties:
- Go to "Properties" in your dashboard
- Select the property you want to configure
- Click on the "Rent Settings" tab
- Configure the following settings:
- Rent Due Date: The day of the month when rent is due (e.g., 1st of the month)
- Grace Period: Number of days after the due date before a payment is considered late
- Late Fee: The amount charged for late payments

Autopay for Tenants
Tenants can set up automatic payments to ensure rent is always paid on time:
- Tenant goes to "Payment Settings" in their account
- They select "Enable Autopay"
- They choose their preferred payment method
- They select when the payment should be processed (on due date or X days before)
- They confirm the autopay setup
Encouraging tenants to set up autopay can significantly reduce late payments and save time for both you and your tenants. Consider offering a small discount (e.g., 1%) for tenants who use autopay.
Tracking Rent Payments
Leaseora provides comprehensive tools for tracking rent payments:
- Payment Dashboard: View all upcoming, completed, and overdue payments
- Payment Status: See which tenants have paid, which are pending, and which are late

The system will automatically attempt to collect the payment again after a configurable waiting period (default is 3 days). You can adjust retry settings in "Payment Settings." If the payment fails multiple times, you may need to contact the tenant directly to resolve the issue.
Yes, tenants can split their rent payment between multiple payment methods. For example, they can pay part of their rent using a bank transfer and the remainder using a credit card. Each partial payment will be recorded separately in the system but will be linked to the same rent obligation.
Security deposits are tracked separately from rent payments in Leaseora. When setting up a new lease, you can specify the security deposit amount, which the tenant can pay through the platform. Security deposits are held in a separate ledger and can be refunded (fully or partially) when the tenant moves out.
