1  Purpose, Scope and Terminology

The Properties Management module is the operational foundation for a real estate company that manages individual properties, multi-unit buildings, rental listings, client applications, leases, recurring rent, inspections, documents and portfolio performance.

Important module boundary

The Properties Management listing workflow described here is primarily for rental listings. Properties offered for sale should use the separate Property Sales / Property Purchases module.

Use role-based accounts

Every employee should use an individual account. Shared passwords weaken audit logs and make it difficult to identify who changed a property, confirmed a payment or altered a lease.

 

 

 

5  Phase 1 - Create and Configure Properties

Steps 1 to 5: build the property and unit records before advertising or leasing.

Navigate to Properties -> Add Property. Enter the asset information, upload media and save the record. The Property model becomes the primary record to which units, listings, leases, payments, documents, floor plans and analytics are linked.

One physical unit, one unique record

Duplicate unit numbers can cause double allocation, incorrect payments and reporting errors. Use a consistent property and unit naming standard.

Configure Payment Gateways, Auto-Collection and Late Fees

Primary user: Finance / Account Administrator

 

Open the property payment configuration and choose the payment channels the company accepts for that property. Test the connection before a live tenant is asked to pay.

Create and Reuse Property Templates

Primary user: Property Administrator

 

A PropertyTemplate allows the company to save a repeatable property structure and create new property records faster. It is useful for standard estates, apartment blocks or recurring asset types.

1. Create a correctly configured property.

2. Open createTemplate and choose the information to reuse.

3. Name and save the template.

4. Use createFromTemplate for the next similar asset.

5. Review the new property and replace all project-specific information.

6. Update or delete outdated templates through updateTemplate or deleteTemplate.

 

Templates accelerate setup, not review

A property created from a template must still be checked for its correct address, unit inventory, currency, prices, images, payment rules and documents.

Clone an Existing Property

Primary user: Authorised Property Administrator

 

The clone action duplicates an existing property and its settings for rapid portfolio expansion. Use it only for genuinely similar properties and immediately review the copy.

Change the copied property title and address.

Review all units and unique unit numbers.

Review prices, amenities, gateway and late-fee settings.

6  Phase 2 - Create and Manage Rental Listings

Use PropertyListingController@create and @store to create a PropertyListing linked to a property and, where applicable, a specific unit. The Properties Management module uses listing_type = rent; property sales are handled in the Property Sales module.

Open the applications area for a listing to see all ListingApplication records and applicant profiles. Applications should remain Pending until the required screening and business review are complete.

Clients browse active rental listings on the public property portal. Filters can narrow results by city, price range, bedrooms, property type and negotiability. CurrencyService can display prices in the client preferred currency.

Currency control
